CASE STUDY | AI-Enabled Communications Workflows
AI-Enabled Communications Workflows
Strategic Focus: Modernizing communications production by introducing AI-supported editorial workflows that improve speed, consistency, and scalability.
TL;DR
Designed AI-supported editorial workflows and custom GPT tools that increased external content production by 180% while maintaining brand consistency.
To protect confidentiality, company names have been anonymized. The scope, complexity, and outcomes reflect real-world executive communications work.
The Situation
The communications team was responsible for producing a growing volume of external blog content while maintaining quality, consistency, and brand voice. As demand increased, traditional production methods made it difficult to keep pace without significantly increasing workload or headcount. At the same time, generative AI tools were rapidly emerging, presenting an opportunity to rethink how the team approached drafting, editing, and content development.
The Challenge
Introducing AI into a communications workflow required careful planning. The team needed to balance the potential efficiency gains of generative AI with the need to maintain brand voice, editorial quality, and responsible use of the technology.
Security and privacy were also critical considerations. Any use of AI tools needed to ensure that sensitive company information, internal data, and proprietary content were not exposed through prompts or external systems.
Without clear structure and guidance, AI tools could lead to inconsistent messaging, unreliable outputs, or hesitation among team members about when and how to use the technology.
My Role
I led the evaluation and introduction of AI tools into the communications team’s editorial workflow. My role focused on identifying appropriate use cases, designing a structured process for incorporating AI into drafting and editing stages, and guiding the team on how to use the tools responsibly while maintaining quality, security, and editorial oversight.
What I Did
Led the introduction of AI-supported editorial workflows designed to assist the communications team.
Key elements of the initiative included:
-
Evaluating generative AI tools and identified appropriate use cases within the editorial process
-
Designing structured prompt frameworks to support ideation, drafting, and editing
-
Creating custom GPT tools tailored to the organization’s content needs and brand voice
-
Developing editorial workflows that incorporated AI at specific stages while preserving human review and approval
-
Establishing internal guidelines for responsible AI usage, including security and privacy considerations when interacting with external tools
-
Training team members on effective and appropriate use of AI within the content development process
-
Ensuring sensitive or proprietary information was never shared in prompts, maintaining strict adherence to company security and privacy practices
The goal was to use AI as a productivity tool within a structured process, allowing the team to increase output while maintaining editorial quality and responsible governance.
The Outcome
The introduction of AI-supported workflows significantly increased the team’s content production capacity while maintaining editorial standards. Results included:
-
Increased blog production by 180%, shifting publishing cadence from roughly one post per month to one or two per week
-
Reduced drafting and editing cycles from days to hours, enabling a consistent weekly publishing cadence
-
Improved consistency in messaging and tone
-
Increased confidence among team members in using AI responsibly within their workflow
-
Led to expanded adoption of AI-supported workflows for website content development
The initiative demonstrated how structured AI adoption can enhance communications operations while preserving the human judgment and editorial oversight essential to effective messaging.
