Executive Messaging During Organizational Transition
Strategic Focus: Preparing leaders for moments that matter, especially during periods of transformation, through executive messaging, narrative clarity, and leadership readiness.
TL;DR
Partnered with the COO and senior leadership to develop executive messaging, prepare leadership materials, and coordinate high-stakes communications during a complex corporate transition.
To protect confidentiality, company names have been anonymized. The scope, complexity, and outcomes reflect real-world executive communications work.
The Situation
Following the administration of the Administered Entity, the Acquiring Company, a global insurance and benefits provider, assumed responsibility for its international group health, life, and disability business. What began as a planned transition quickly intensified as additional entities entered administration and key partners were divested within weeks.
Employees, partners, and leadership teams across regions needed clarity, reassurance, and confidence that the business would continue operating smoothly during a highly visible and uncertain period—often with incomplete information and under regulatory scrutiny.
The Challenge
Leadership needed to communicate decisively while many details were still evolving. Messaging had to strike a careful balance:
-
Acknowledge uncertainty without creating panic
-
Provide reassurance without over-promising
-
Maintain a unified leadership voice across newly combined organizations operating globally and within regulated environments
At the same time, the Acquiring Company was preparing for its first truly global all-hands town hall, bringing together employees and leaders across brands, regions, and time zones for the first time.
My Role
I served as a behind-the-scenes executive communications partner, working closely with the COO and senior leadership to prepare leaders for high-stakes communications during a critical period of change.
I shaped narrative flow, prepared executive-ready materials, and orchestrated leadership moments so communications felt steady and credible even as circumstances evolved.
What I Did
Global Town Hall (Virtual)
-
Led planning and execution of Acquiring Company's first all-hands, all-brands global town hall
-
Partnered closely with the COO to define the agenda, narrative arc, and pacing
-
Created the full executive-ready PowerPoint deck, translating complex transition details into clear, employee-appropriate messaging
-
Ran the meeting end-to-end, ensuring flow, timing, and message discipline
Global Leadership Summit (In-Person)
Several months later, a small core team planned and executed a week-long, in-person leadership summit, bringing leaders together from across the globe.
For this summit, I:
-
Led communications planning and narrative development
-
Partnered with the COO to structure the agenda and define session flow
-
Created executive-ready PowerPoint decks for each speaker
-
Designed the event logo, signage, and supporting visual assets
-
Sourced and coordinated event swag to reinforce cohesion and shared identity
-
Coordinated professional headshots and video production
-
Provided script support, timing guidance, and vendor coordination for filmed leadership content
Across both moments, my focus remained on preparing leaders to show up calm, aligned, and confident, ensuring communications reinforced continuity, trust, and shared purpose.
The Outcome
The executive messaging framework helped create clarity and alignment during a period of rapid organizational growth and change by:
-
Strengthening leadership alignment and consistency across executive communications
-
Helping employees understand evolving business priorities during a period of rapid growth
-
Increasing transparency and connection between leadership and employees
-
Establishing a repeatable model for executive messaging across town halls, updates, and internal communications
